Think Before You Connect
Before touching a single setting in WeIntegrate, there are decisions worth making that will shape how your QuickBooks data looks for as long as you run the integration. How do you want customers represented in QuickBooks — individually, or as a single bulk record? How should products be tracked — matched to existing QBO items, or created fresh? How do you handle shipping from a sales tax standpoint? Do you have economic nexus obligations in multiple states?
None of these require complex answers. But having answers before you configure means your setup reflects your actual accounting intent — not defaults you’ll change six months from now.
Get QuickBooks Online Ready First

Your chart of accounts needs a few specific things:
- A checking account where Shopify payouts will land
- An Other Current Liabilities account for gift card balances (gift cards are a liability until redeemed, not revenue)
- A sales income account for product revenue
- An unmatched payment account for any transactions that can’t be automatically reconciled
QBO settings that need to be enabled:
- Shipping must be turned on so WeIntegrate can map shipping fees correctly
- Sales tax must be enabled — this is a hard requirement, not optional
- Inventory tracking, if your business tracks stock levels in QBO
Products and customers:
QuickBooks Online requires at least one customer and one product to exist before WeIntegrate can connect. These can be placeholder records — they don’t have to be real — but they need to be there. You’ll also want to create a product specifically for gift card mapping and another for no-item refunds (returns where no specific product is being sent back).
Addresses and nexus:
Sales tax in the US is jurisdiction-specific. Before connecting, make sure your company address and shipping addresses are correctly configured in QBO — these drive which tax rates apply to which transactions.
